Rugby Tours Limited

These Terms & Conditions apply to all bookings made with Rugby Tours Limited. By completing a booking form, paying a deposit, or making any payment towards a package, the customer confirms that they have read, understood, and accepted these Terms & Conditions.

1. Booking Confirmation

A booking is not confirmed until Rugby Tours Limited has received the required deposit or payment and has issued a written confirmation by email.

The person making the booking confirms that they are authorised to accept these Terms & Conditions on behalf of all passengers included in the booking.

It is the customer’s responsibility to ensure that all names, dates of birth, passport details, travel information, and personal details provided are correct at the time of booking.

2. Deposits

All deposits paid to Rugby Tours Limited are non-refundable.

The deposit secures the customer’s place on the tour and allows Rugby Tours Limited to begin making reservations, commitments, and arrangements with suppliers, including but not limited to hotels, transport providers, event organisers, ticket suppliers, airlines, and activity providers.

By paying the deposit, the customer accepts that the deposit is non-refundable, except where otherwise required by applicable law.

3. Payment Schedule

The customer agrees to follow the payment schedule provided at the time of booking or stated on the invoice.

Failure to make payments by the required due dates may result in the booking being cancelled by Rugby Tours Limited. In this case, the customer may lose the deposit and any further amounts required to cover costs already incurred by Rugby Tours Limited.

Rugby Tours Limited reserves the right to cancel a booking if payments are not received on time.

4. Final Payment

Final payment must be made by the due date stated on the invoice or booking confirmation.

If the final balance is not paid by the required deadline, Rugby Tours Limited may treat the booking as cancelled by the customer. Cancellation charges may apply.

5. Customer Cancellation

All cancellation requests must be made in writing by email to Rugby Tours Limited.

The date of cancellation will be the date on which Rugby Tours Limited receives the written cancellation request.

Deposits are non-refundable.

Any further payments made after the deposit may be refundable in part, depending on the date of cancellation and the costs already incurred by Rugby Tours Limited. These costs may include, but are not limited to, hotel commitments, transport reservations, event tickets, match tickets, flights, administration costs, supplier cancellation charges, and any other non-refundable arrangements made on behalf of the customer.

Refunds, where applicable, will be calculated after deducting any costs, fees, charges, or losses already incurred by Rugby Tours Limited.

6. Cancellation Charges

Cancellation charges may vary depending on the package, suppliers, destination, event, and date of cancellation.

As a general guide:

  • The deposit is non-refundable in all cases.

  • The closer the cancellation is to the departure date or event date, the higher the cancellation charges are likely to be.

  • Once flights, event tickets, match tickets, hotels, transport, or activities have been confirmed and paid to suppliers, these items may become fully non-refundable.

  • If Rugby Tours Limited is able to recover money from suppliers, any recoverable amount may be refunded to the customer after deduction of reasonable costs and administration fees.

Rugby Tours Limited strongly recommends that all customers take out suitable travel insurance at the time of booking to protect themselves against cancellation, illness, injury, travel disruption, or other unexpected circumstances.

7. Cooling-Off Period

Where applicable by law, customers may have a 14-day cooling-off period from the date of booking.

However, some travel, accommodation, transport, event, leisure, and dated services may be exempt from the standard cooling-off period, particularly where services are booked for specific dates or where Rugby Tours Limited has already started making arrangements at the customer’s request.

If a customer wishes to cancel within 14 days of booking, the request must be made in writing. Any refund will be subject to applicable law, supplier conditions, and any costs already incurred by Rugby Tours Limited.

The deposit remains non-refundable unless otherwise required by applicable law.

8. Changes Requested by the Customer

Any request to change a booking must be made in writing.

Rugby Tours Limited will try to assist where possible, but changes cannot be guaranteed and may be subject to availability, supplier approval, and additional costs.

Any charges, fare differences, supplier fees, or administration costs resulting from a requested change will be payable by the customer.

9. Changes Made by Rugby Tours Limited

Rugby Tours Limited reserves the right to make reasonable changes to the itinerary, hotels, transport, activities, timings, or arrangements where necessary.

This may happen due to supplier changes, event schedule changes, transport disruption, weather conditions, operational reasons, safety concerns, or circumstances beyond the control of Rugby Tours Limited.

Where possible, Rugby Tours Limited will provide a suitable alternative of similar standard.

10. Events, Fixtures, and Schedules

Sporting fixtures, event schedules, kick-off times, venues, and activity times may be changed by event organisers, broadcasters, governing bodies, venues, or local authorities.

Rugby Tours Limited is not responsible for changes made by third parties.

If an event, fixture, or activity is changed, postponed, rescheduled, or cancelled, Rugby Tours Limited will do its best to assist customers and provide information. Any refund will depend on the terms and conditions of the relevant supplier, organiser, or ticket provider.

11. Non-Attendance

If a customer fails to attend a transfer, activity, excursion, event, match, meal, or any other included service, no refund will be provided.

No refund will be given for unused services, missed activities, late arrivals, early departures, or failure to follow the itinerary or meeting instructions.

Customers are responsible for arriving on time for all transfers, activities, events, and meeting points.

12. Travel Documents

Customers are responsible for ensuring that they hold valid passports, visas, travel documents, vaccinations, entry permissions, and any other documents required for travel.

Rugby Tours Limited is not responsible if a customer is refused travel, entry, boarding, or access due to incorrect or missing documents.

No refund will be provided in these circumstances.

13. Travel Insurance

Travel insurance is strongly recommended for all customers and should be purchased at the time of booking.

Insurance should cover cancellation, medical expenses, personal injury, loss of luggage, travel delays, missed departures, event cancellation, supplier failure, and any activities included in the package.

Rugby Tours Limited is not responsible for any loss that could have been covered by suitable travel insurance.

14. Behaviour and Customer Responsibility

Customers are expected to behave responsibly and respectfully towards Rugby Tours Limited staff, suppliers, hotel staff, drivers, guides, event staff, and other customers.

Rugby Tours Limited reserves the right to remove any customer from a tour, transfer, activity, hotel, or event if their behaviour is considered dangerous, abusive, disruptive, illegal, or unacceptable.

In such circumstances, no refund will be provided and Rugby Tours Limited will not be responsible for any additional costs incurred by the customer.

15. Force Majeure and Extraordinary Circumstances

Rugby Tours Limited will not be liable for failure to perform or for changes caused by events beyond its reasonable control.

These may include, but are not limited to, natural disasters, extreme weather, fire, flood, war, terrorism, civil unrest, strikes, pandemics, epidemics, government restrictions, border closures, airport closures, transport disruption, supplier failure, safety issues, or any other unavoidable and extraordinary circumstances.

If the package cannot operate due to circumstances beyond the control of Rugby Tours Limited, the company will do its best to recover funds from suppliers and refund customers where possible.

Any refund will depend on the amounts recoverable from suppliers and the costs already incurred by Rugby Tours Limited, unless otherwise required by applicable law.

16. Supplier Terms

Many parts of the package are provided by third-party suppliers, including hotels, airlines, coach companies, transport providers, venues, event organisers, ticket providers, restaurants, and activity providers.

Customers may also be bound by the terms and conditions of these suppliers.

Rugby Tours Limited is not responsible for supplier decisions, restrictions, cancellation policies, venue rules, or changes made by third-party providers, except where required by applicable law.

17. Prices and Surcharges

Rugby Tours Limited aims to keep package prices fixed once confirmed. However, prices may change before booking confirmation.

In certain circumstances, additional charges may apply due to changes in transport costs, fuel costs, taxes, exchange rates, supplier prices, or other costs outside the control of Rugby Tours Limited.

Any additional charges will be communicated to the customer as soon as possible.

18. Special Requests

Any special requests, including room preferences, dietary requirements, accessibility needs, seating preferences, or specific travel arrangements, must be made in writing at the time of booking.

Rugby Tours Limited will pass requests to the relevant suppliers where possible, but special requests cannot be guaranteed unless confirmed in writing.

19. Medical Conditions and Accessibility

Customers must inform Rugby Tours Limited of any medical condition, mobility issue, disability, dietary requirement, or special assistance requirement that may affect their ability to travel or participate in the tour.

Rugby Tours Limited will do its best to assist but cannot guarantee that all destinations, hotels, venues, transport, or activities will be suitable for all customers.

20. Complaints

If a customer experiences a problem during the tour, they must inform Rugby Tours Limited, the tour representative or the relevant supplier without undue delay, so that a reasonable opportunity is provided to investigate and resolve the issue at the time.

If the issue cannot be resolved during the tour, the customer should submit a detailed written complaint by email as soon as reasonably possible and preferably within 14 days of the end of the tour. The complaint should include the booking reference, full details of the issue and any relevant supporting evidence.

Failure to report an issue promptly may affect Rugby Tours Limited’s ability to investigate the complaint and may be taken into account when assessing any claim. However, nothing in this clause limits the customer’s statutory rights.

Rugby Tours Limited will investigate all formal complaints fairly and will respond as soon as reasonably possible.

Customers are encouraged to allow Rugby Tours Limited a reasonable opportunity to investigate and respond to a complaint before publishing allegations publicly or on social media. Social media posts, online reviews and other public statements do not replace the formal complaints procedure set out above.

Nothing in these Terms and Conditions prevents a customer from publishing a genuine, lawful and honestly held review of their experience or from exercising any legal or statutory rights.

However, customers must not knowingly or recklessly publish, share or repeat statements about Rugby Tours Limited, its employees, representatives, suppliers or commercial partners that are false, misleading, malicious, threatening, harassing, defamatory or otherwise unlawful.

Rugby Tours Limited reserves the right to take appropriate action in relation to unlawful publications, which may include requesting the correction or removal of the content, reporting the content to the relevant platform and, where necessary, seeking legal advice or commencing legal proceedings.

21. Liability

Rugby Tours Limited will take reasonable care in arranging the package and selecting suppliers.

However, Rugby Tours Limited will not be liable for loss, damage, injury, delay, cancellation, additional expense, or inconvenience caused by the customer, third-party suppliers, events outside its control, or circumstances that could not have been avoided even with reasonable care.

Nothing in these Terms & Conditions limits or excludes any liability that cannot legally be limited or excluded.

22. Data Protection

Rugby Tours Limited may collect and use customer information for the purpose of managing bookings, arranging travel services, communicating with customers, processing payments, and fulfilling legal or operational requirements.

Customer details may be shared with suppliers where necessary to provide the booked services.

23. Governing Law

These Terms & Conditions shall be governed by the laws applicable to Rugby Tours Limited.

Any disputes shall be handled in the appropriate courts or through the relevant dispute resolution process, subject to applicable consumer rights.

Payment Plan Terms & Conditions

By choosing a Payment Plan, you agree to pay the full total cost of your travel package in accordance with the payment schedule confirmed at the time of booking.

The Payment Plan is offered as a flexible way to spread the cost of your trip. It does not reduce, remove or change your responsibility to pay the full balance of the booking.

1. Deposit

The first payment/deposit is required to secure your place on the tour.

The initial deposit is strictly non-refundable under all circumstances, unless the tour is cancelled by us and no alternative arrangement is offered.

Your booking will only be confirmed once the initial deposit has been received.

2. Payment Schedule

All further instalments must be paid on or before the dates shown on your payment schedule.

It is your responsibility to ensure that payments are made on time.

If an instalment is missed or delayed, we reserve the right to contact you to request immediate payment. If payment is not received within the time requested, we may treat your booking as cancelled by you and apply the cancellation terms set out below.

3. Commitment to Pay the Full Balance

By accepting the Payment Plan, you confirm that you understand and agree that the full cost of the package must be paid.

Failure to complete the Payment Plan does not automatically entitle you to a refund of monies already paid.

Any refund will depend on the date of cancellation and the costs already committed or paid by us to suppliers, including but not limited to flights, accommodation, match tickets, transport, events, administration and other tour-related arrangements.

4. Cancellation by the Customer

All cancellations must be made officially by email.

Cancellation requests made by telephone, text message, WhatsApp, social media or verbally will not be accepted as official cancellation.

The cancellation date will be the date on which we receive your official cancellation email.

5. Refunds Under the Payment Plan

The initial deposit is non-refundable.

Any further instalments paid after the deposit may only be refundable to the extent that the funds have not already been committed, paid, reserved or contractually owed by us to suppliers at the date we receive your official cancellation email.

This means that if costs have already been incurred or committed on your behalf, those amounts will be deducted from any possible refund.

6. Non-Refundable Date

The departure date for this tour is 23 April 2027.

From 23 January 2027, which is 90 days before departure, all payments made towards the booking become fully non-refundable.

Any cancellation received on or after 23 January 2027 will result in a 100% cancellation charge, and no refund will be due.

7. Cancellation Charges

The following cancellation terms apply:

8. Supplier Costs and Non-Recoverable Items

Some elements of the package may become non-refundable immediately once booked or confirmed with suppliers.

These may include flights, hotel rooms, ferry bookings, coach transport, match tickets, hospitality, event spaces, group arrangements, administration fees and any other services purchased or reserved for your booking.

Where we are able to recover money from suppliers following your cancellation, we will take this into account when calculating any refund due.

9. Failure to Complete Payments

If you do not complete all payments by the required deadline, we reserve the right to cancel your booking.

In this situation, the cancellation terms above will apply, and you may lose some or all of the payments already made depending on the date of cancellation and the costs already incurred.

10. Travel Insurance

We strongly recommend that all customers take out suitable travel insurance from the time of booking.

Your insurance should cover cancellation, illness, travel disruption, personal circumstances and any other reason that may prevent you from travelling.

11. Agreement

By selecting the Payment Plan and making the first payment, you confirm that you have read, understood and accepted these Payment Plan Terms & Conditions.

You also confirm that you understand your responsibility to pay the full balance of the package and that refunds are limited to the terms stated above.
